What Data We Collect

We collect data in the following ways:

Directly from you, when you:

  • Submit an enquiry through our website contact forms

  • Submit a LinkedIn form in response to one of our adverts

  • Email, call, or otherwise contact us directly

  • Engage with our sales outreach (for example, via email sequences)

The data collected through these channels may include: your name, email address, phone number, job title, company name, LinkedIn profile URL, and details of your enquiry (such as information about a building you manage or represent).

Automatically, when you visit our website, via:

  • Google Analytics 4 (GA4), which collects data such as pages visited, time on site, and general location, via Google Tag Manager

  • Cookies (see the Cookies section below)

From third parties, including:

  • LinkedIn, when you submit a form through one of our adverts (LinkedIn shares the information you provide in that form directly with us)

  • Publicly available business sources and databases used for professional outreach, via our sales engagement platform, Apollo.io (for example, publicly listed business email addresses and job titles of individuals at organisations we believe may benefit from our services)

We do not collect any special category data (such as health information, in the data protection sense) as part of standard enquiries.

How We Use Your Data

We use your personal data to:

  • Respond to your enquiry and assess your building's eligibility for cladding remediation support, including funding through the Cladding Safety Scheme (CSS).

  • Provide our consultancy services if you become a client, including managing communications with relevant third parties (such as funders, contractors, and regulators) on your behalf.

  • Send you relevant information about our services, where you have enquired with us or where we have a legitimate business interest in doing so (for example, professional outreach to property and facilities management contacts).

  • Improve our website and marketing, using aggregated and anonymised analytics data.

  • Meet our legal and regulatory obligations, including those relating to our RICS regulation.

Legal Basis For Processing

We rely on the following legal bases under UK GDPR:

  • Consent: where you have submitted a form or otherwise actively provided your details to us.

  • Legitimate interests: for professional B2B outreach and marketing to individuals in relevant roles, and for using analytics to understand and improve our website, balanced against your right to privacy.

  • Contract: where processing is necessary to deliver services to you as a client.

  • Legal obligation: where we are required to process or retain data to comply with regulatory requirements (including RICS requirements).

You can withdraw consent or object to processing based on legitimate interests at any time (see "Your rights" below).

Who We Share Your Data With

We may share your personal data with:

  • Project partners, where necessary to deliver a remediation project you've engaged us for (for example, fire engineers, architects, contractors, or project managers we work with).

  • Funding bodies, including Homes England and administrators of the Cladding Safety Scheme, where necessary to process funding applications.

  • Service providers who support our operations, including:

    • Google (Google Analytics, Google Tag Manager, Google Ads)

    • LinkedIn (for advertising and Lead Gen Forms)

    • Apollo.io (for sales outreach and contact management)

    • Our email and productivity providers (Microsoft 365 / Outlook)

  • Regulatory or legal bodies, where required by law.

We do not sell your personal data to third parties.

Some of these providers may process data outside the UK/EEA. Where this happens, we ensure appropriate safeguards are in place, such as standard contractual clauses, in line with UK GDPR requirements.

Cookies

Our website uses cookies to help it function and to understand how visitors use the site. This includes cookies used by Google Analytics (via Google Tag Manager) and LinkedIn's advertising tools.

You can manage or disable cookies through your browser settings. Disabling cookies may affect how parts of our website function.

How Long Do We Retain Your Data

We keep personal data only for as long as necessary for the purposes for which it was collected, including to meet legal, accounting, or regulatory requirements.

  • Enquiry data from people who do not become clients is generally retained for 12 months to allow for follow-up, then deleted or anonymised.

  • Client data is retained for the duration of any engagement and for a period afterwards as required by our regulatory and legal obligations (typically several years, in line with RICS and standard business record-keeping requirements).

Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate or incomplete data

  • Erasure ("right to be forgotten"), in certain circumstances

  • Restrict how we use your data

  • Object to processing based on legitimate interests, including for direct marketing

  • Data portability, where technically feasible

  • Withdraw consent at any time, where processing is based on consent

To exercise any of these rights, contact us at info@archwayfm.com.

You also have the right to lodge a complaint with the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
